Sponsored Projects Accounting (SPA) Monday.com Updates

As part of the Monday.com implementation project, SPA is continuing to roll out new processes to streamline workflows and provide insight into processing.

First Time NCEs for NIH Now Submitted through Online Form
First time No Cost Extension (NCE) requests for NIH are now submitted through the same online form used to request other NCEs. The link to the form is available on the on Financial Services website.

Requests for NCEs (excluding those for Contracts and NSF awards) must be submitted via the online form.

Allocation & Cost Share Requests Department View
Departments can now track the status of allocation and cost share requests. A link to the tracking page is available on the OVCR website.

There is no change to how allocation and cost share requests are submitted; continue to email the completed form to SponsoredProjectsForms@wustl.edu. Submit only one formper email. This helps SPA track and assign the workload.

Reminder: Check Real-time Status of Requests Online
Use the online tracking pages to view the status of requests for award set up, PA, ACE, NCE, cost share, and allocation requests.

Sort the columns by PI or cost center to locate your item(s). Items appear in different groups based on their status (working on it, pending department, etc.).

Expand the item to view the status of the subtasks SPA completes while working the request. To speed up SPA’s processing times, become familiar with these subitems and be proactive in ensuring all items are in good standing before submitting the request. If a subtask requires information from the department, SPA will continue to email the department contact with the information required. A summary of the issue can also be found in the Notes to Department column for the affected subitem.

Best Practices for Submitting Forms to and Communicating with SPA

  • Always get the latest SPA forms from the Financial Services website. This ensures you have the most up-to-date version.
  • Verify your email is entered correctly on all SPA forms. After submitting an online form, an email is sent to the entered address. Some forms (PA, ACE) require additional approvals before the request can be processed by SPA.
  • The email address sending automated communications from Monday.com is not monitored. Do not reply to automated emails coming from “CFU spanotifications.”
  • If an email from SPA includes a WashU pulse email address, be sure to copy that email on your reply.
  • Ensure all Worktags (Grant Hierarchy, FFR Owner, Cost Center, etc.) are accurate.
